How to use wellNet
These tabs match the app, plus Admin: Schedule, Voice, Clients, Sales, Reports, Manage, Admin. Each lists the operations in order. wellNet drafts reminders and receipts; you send them from WhatsApp, Messages, or Mail on the phone. Voice is the AI interface to the same diary. Admin is every job only an administrator can do.
The shared diary. Switch Day or Week at the top. + starts a booking. The waveform is voice. On Week, the clock-calendar icon opens your hours or a room diary.
Read the day list
- Open the Schedule tab. Tap Day at the top if you are not already on Day.
- The month strip highlights days with bookings (and Apple Calendar events if you allowed access). Tap a day.
- The list is that day’s bookings and calendar events, in time order. All-day calendar events sit at the top.
- If the day is empty, tap New Booking, or Jump to Latest Booking if there is later work on the diary.
- Tap a booking for a short card (treatment, time, client, room, paid or cancelled). Tap an Apple Calendar row to peek, then Open in Calendar if you need the original event.
Read the week timetable
- Tap Week. The grid is about 7:00–21:00 for seven days.
- Chevrons move the week. Today jumps to this week.
- Tap an empty slot to start a booking (it snaps to 30 minutes).
- Tap a coloured block to peek. Overlapping bookings sit side by side.
Set your availability (when you may be booked)
- On Week, tap the clock-calendar icon, then Therapist hours.
- Green blocks are when you may take bookings. They repeat every week.
- Tap empty time to mark or clear a 30-minute window. You can only edit your own hours.
- Hours (top right): Typical week, Mon–Fri 9–5, or Clear all hours.
- Use the therapist menu at the top to look at a colleague. Their green blocks are read-only.
- Tap Done.
Staff with no hours yet get Monday–Friday 9–5 until they paint their own week. A booking will not save for you outside these hours.
See who is in a room
- On Week, tap the clock-calendar icon, then Location diary.
- Pick a room. You see bookings in that room and which therapist is busy.
Add rooms first under Manage → Locations (administrator).
Show Apple Calendar beside the diary
- When iOS asks, allow calendar access — or later: Settings → Privacy & Security → Calendars → wellNet.
- Events already on the phone appear read-only on Day and Week next to bookings.
- wellNet does not write into Apple Calendar.
Book someone in
- Day: tap + at the top, or New Booking at the bottom of the list. Week: tap an empty slot.
- Choose the client (or walk-in), then tick every treatment in this visit (or type a custom name). Duration and price add up. A treatment marked own booking cannot sit with others — it needs its own slot.
- Set date and time, therapist, and room.
- Add a note if you need one. Earlier notes stay; a new note is stamped with the time and who you are.
- Tap Save.
A therapist can only be saved inside their marked hours. The same therapist, or the same room, cannot double-book. Two therapists may work at the same clock time in different rooms. If the slot clashes with another booking or an Apple Calendar event, confirm before saving (Save Anyway) or pick another time.
A request from the public book page is not a booking yet. It does not appear on this day list until an administrator taps Write in diary under Manage → Online booking (Admin tab of this guide).
Book by voice
On Schedule, tap the waveform (top right). The Voice tab on this page covers what you can ask, how Apple Intelligence and Grok differ, and the Bookings WhatsApp trial.
Edit a booking
- Tap the booking. On the short card, tap Edit.
- Change time, treatments, therapist, room, price, or add a stamped note.
- To take a picture (a consent form, for example), choose a client first, then use Notes — see below.
- Tap Save. A clash still asks you to confirm.
Take a picture while editing a booking
- On New Booking or Edit Booking, choose the client at the top. Pictures belong to the person, not the empty slot. Walk-in has no picture until you pick a client.
- Scroll to Notes.
- Tap Add Picture to Notes. The camera opens (the same lead-through as a WhatsApp draft).
- Take the photo. Add a comment if you need one.
- Copy or Share… sends the picture — for example to the client for a consent form. That uses apps already on the phone. wellNet does not send it for you.
- Tap Save to notes. The JPEG stays in this practice Apple ID’s iCloud Drive (Files → wellNet). L5 does not host it. A line is also added to this visit.
- Open the photo link later from Notes on the booking or on the client if you need to share it again. Delete if you need to retake.
The comment is kept with the iCloud Drive link. More space is an Apple iCloud+ plan, bought in Settings. The practice and Apple are the custodians; there is no third-party picture server.
Send a reminder (WhatsApp, SMS, or email)
wellNet does not send the reminder itself. It drafts the wording, then you send it from the apps already on the phone. Put a phone number and email on the client first (Clients tab → Edit) if you want one-tap SMS or a ready Mail address.
Open the reminder
- On the Day list, swipe the booking to the right and tap Remind.
- Or tap the booking, then tap Remind on the short card.
- A draft appears, for example: “Hi Emma, just a reminder of your Massage appointment on Tuesday 15 September at 10:00 with Claire Bes, at Treatment room 1.” Edit the text if you need to.
Send by SMS (Messages)
- If the client has a phone number on file, Text Client is on the reminder sheet.
- Tap Text Client. iOS Messages opens with that number and the draft already in the body.
- Check the wording, then send as a normal text.
If there is no phone on the client record, Text Client is hidden. Add a number under Clients → Edit, or use Share… / Copy below.
Send with WhatsApp on this phone
- On the reminder sheet, tap Share… (or tap Copy, then paste).
- In the iOS share sheet, tap WhatsApp. Pick the client’s chat (or a group) and send.
- WhatsApp must already be installed and signed in on this phone. wellNet does not log into WhatsApp for you.
Send by email
- On the reminder sheet, tap Share… and choose Mail — or Copy and paste into Mail yourself.
- If the client has an email on file, you can instead open Clients, tap their record, tap the email address, and paste the reminder into that message.
- Check From on the compose sheet (clinic mailbox on practice phones: Settings → Mail → Default Account).
- Send from Mail as usual. wellNet never stores a mailbox password.
Use SMS when you want Messages to fill the number. Use WhatsApp when that is how the client prefers to hear from you. Use email when you have an address on file or you pick one in Mail. Always read the draft before you send.
Take payment on a booking
- Open the booking (Edit from the short card).
- Tap Pay… — only while the status is still Booked.
- Check the amount before VAT. If Company has a VAT rate, the form shows VAT and the total the client pays.
- Choose cash, card, voucher or other. Add a session note if you want (it is stamped onto the booking).
- Confirm payment. A Receipt sheet appears.
The booking is marked Paid. A combined visit writes one sale line per treatment. The sale is recorded against whoever is signed in, so it appears on that person’s Reports. A Receipt sheet opens with the wording ready to send from this phone.
Send the receipt (WhatsApp, Messages, or email)
wellNet does not send the receipt itself. It drafts the text (practice name, address, VAT number if filled, items, totals, paid by). You send it from WhatsApp, Messages, or Mail already on the phone. Put a phone number and email on the client first if you want Mail to fill To, or an easy WhatsApp/Messages chat to pick.
Send the receipt with WhatsApp
- On the Receipt sheet, tap Copy. The caption reads Copied — paste into WhatsApp or Messages.
- Open WhatsApp on this phone, open the client’s chat, paste, and send.
- Or tap Share… on the Receipt sheet, then WhatsApp, pick the chat, and send.
WhatsApp must already be installed and signed in. wellNet does not log into WhatsApp for you.
Send the receipt by SMS (Messages)
- On the Receipt sheet, tap Copy, then open Messages, pick the client (their number if it is on file), paste, and send.
- Or tap Share… and choose Messages. If the client’s number is on their record, pick that conversation.
Unlike Remind, the Receipt sheet does not have a Text Client button. Copy or Share… is the path into Messages.
Email the receipt
- On the Receipt sheet, tap Email receipt.
- If the client has an email on file, Mail opens with To, subject (Receipt from [practice]), and the receipt in the body.
- If they have no email, wellNet asks for one, saves it on their client record for next time, then opens Mail.
- Check From on the compose sheet. On clinic phones set Settings → Mail → Default Account to the practice mailbox.
- Send from Mail as usual. wellNet never stores a mailbox password.
You can also Share… → Mail if you prefer the iOS share sheet. Tap Done on the Receipt sheet when you have finished (or if you are not sending one).
The receipt heading uses trading name, address, phone, email, and VAT number from Manage → Company. If VAT was charged, it lists net, VAT %, VAT amount, and total.
Cancel a booking
- Open the booking and tap Cancel Booking…
- Enter a reason. The slot stays on the day, marked cancelled.
- To put it back, open it and tap Reinstate Booking.
Delete a booking
- Day list: swipe the row left and tap Delete.
- Or open the booking and tap Delete Booking.
Cancel keeps a record on the day with a reason. Delete removes the row. Prefer Cancel if you may need to see that it was called off.
The AI interface to the diary. You speak or type; it looks up clients, hours, and bookings on this phone, then answers or writes a slot. It does not invent people or free times.
What it is
Voice Assistant is a conversation with the same wellNet diary you use by tapping. It can find a client, read who is booked, check a therapist’s weekly hours, and create a booking. Replies are short, meant to be heard aloud. It is not a second diary and it cannot take payment, send reminders, or change Company setup.
Two engines
| Engine | When it is used | What you need |
|---|---|---|
| Apple Intelligence | Supported iPhone or iPad with Apple Intelligence turned on | No xAI key. The model runs on the device. Caption in the sheet: Apple Intelligence. |
| Grok (xAI) | Every other device — including iPhone 12, iPad mini 6, Simulator, or Apple Intelligence off | Practice xAI key under Manage → Grok, saved in this phone’s Keychain. Needs internet. Caption: cloud. |
The sheet shows which engine is running. Both engines use the same local tools: they read and write the diary on this phone. They do not invent clients or appointments.
Open Voice Assistant
- Open the Schedule tab.
- Tap the waveform in the top right.
- Allow Microphone and Speech Recognition if iOS asks.
- If the sheet says to add a key, go to Manage → Grok, paste the practice xAI key, Save API Key, then return.
Speak or type
- Tap the mic, speak, tap again to send. You should see the live transcript while you talk.
- Or type in “Or type a request” and tap Send — useful in a quiet treatment room.
- Optional: pick a spoken voice from the picker if you want the reply read aloud.
- Tap Done when you have finished.
What you can ask (enquire)
Ask in ordinary clinic language. The assistant looks up the diary before it answers. Examples:
- “Have I got clients next Tuesday?”
- “What’s on tomorrow morning?”
- “Is Claire free on Thursday afternoon?”
- “When can I take bookings next week?”
- “Do we have a client called Emma Bright?”
It can list bookings in a date range, list a therapist’s marked weekly hours (or everyone’s), and search clients by name. If two people share a name, it should ask which one.
What you can book
The client must already be on the Clients tab. Say the name, day, time, how long, and the treatment if you know it. You can add a note in the same sentence.
- “Book Emma Bright next Tuesday at 10 for an hour.”
- “Book Sally Munro next Tuesday at 10 for an hour and note she needs oil XX.”
After it books, it should confirm client, day, time, duration, and any note. The slot appears on Schedule like any other booking. It will not offer a time outside that therapist’s green hours. If the slot clashes with another booking or the same room, it tells you and waits — it only double-books if you clearly say to book anyway.
What it will not do
- Create a new client. Add them on the Clients tab first, then book by voice.
- Invent a free slot or a person who is not in the diary.
- Take payment, send a reminder or receipt, or run Reports.
- Change hours, treatments, rooms, or Company.
- Write into Apple Calendar.
If a name is unclear, say the full name as it is on the client record. If it gets stuck, try a shorter request. Grok needs a network; Apple Intelligence does not, once the phone can run it.
Bookings WhatsApp (trial, on this phone)
Manage → Bookings WhatsApp is a trial thread so you can see how a client-facing AI would talk. You type as the client; Grok answers with the same diary tools and can write a booking. It always uses the practice Grok key (not Apple Intelligence), so it works on Simulator and on phones without Apple Intelligence.
- Paste the Grok key under Manage → Grok if it is not already saved.
- Open Manage → Bookings WhatsApp.
- Pick a sender on file if you want it to treat the chat as that client.
- Type as the client would: “Have you got anything next Tuesday at 10?”
On that path the assistant is talking to the client: it must not name other clients, must not double-book, and must not create a new client. Live WhatsApp Connect (a public Meta number and webhook) is not on yet. This trial stays on the phone.
The practice file of people you treat. Search, add, call, message, email, keep notes, and start a booking with their name already filled. Phone and email here are what Remind and receipts use.
Find a client
- Open the Clients tab.
- Use the search field: name, phone, or email.
- Tap a row to open the record.
Add or edit a client
- Tap + to add, or open a record and tap Edit.
- Fill title, first name, last name.
- Fill phone and email whenever you know them — reminders (SMS, WhatsApp, Mail) and email receipts use these.
- Fill address if you need it on the record.
- Tap Save.
Call, SMS, or email from the record
- Open the client.
- If a phone is on file: tap Call, or tap Message to open iOS Messages to that number.
- If an email is on file: tap the email to open Mail to that address.
That is a blank message to the person, not a booking reminder. For a reminder with the appointment already written, use Schedule → Remind, then Text Client, Share… → WhatsApp, or Share… → Mail (see Schedule).
Keep notes on the person
- Open the client.
- Type in Notes. These sit on the client record, not on a single booking.
- Add Picture to Notes is the same camera, comment, Copy / Share…, and Save as on a booking. The photo stays in this Apple ID’s iCloud Drive.
Session notes on a booking (when you Pay or Add a note) are separate and stamped with the time and who wrote them. A picture taken while editing a booking is stored on the client and mentioned on that visit (Schedule → Edit a booking).
Book a treatment from the client
- Open the client.
- Tap Book Treatment. Their name is already filled.
- Set time, tick the treatments for this visit, therapist and room, then Save.
See history
The client screen lists treatment history (tap a booking to open it) and purchases. Use this to see what they last had and whether it was paid or cancelled.
Delete a client
- On the list, swipe the row left and tap Delete.
Deleting a client also removes their linked bookings. Prefer Cancel on Schedule if you only want the appointment gone.
The till when there is no diary slot — a product, a walk-in treatment, or a custom line. Paying a booked session is Pay… on Schedule; it still writes a sale here and on Reports.
Record a till sale
- Open the Sales tab. Tap +.
- Tap Add Item: pick a treatment, an inventory product, or Custom item…
- Set quantity and price (before VAT). Add more lines if needed.
- Attach a client if you want. Walk-in is allowed.
- Choose cash, card, voucher or other.
- Tap Complete Sale.
The sale is recorded against whoever is signed into wellNet. Stock on inventory items goes down when you sell those products. VAT uses the rate on Manage → Company.
Send the receipt (WhatsApp, Messages, or email)
The same Receipt sheet appears after a till sale as after Pay on a booking. wellNet drafts the text; you send it from apps on this phone.
Send the receipt with WhatsApp
- Tap Copy, then paste into the client’s WhatsApp chat — or tap Share… and choose WhatsApp.
- WhatsApp must already be installed and signed in. wellNet does not log into WhatsApp for you.
Send the receipt by SMS (Messages)
- Tap Copy and paste into Messages, or Share… → Messages.
- There is no Text Client button on the Receipt sheet. Pick the conversation yourself (their number if it is on the client record).
Email the receipt
- Tap Email receipt.
- If the client has an email on file, Mail opens with To, subject, and body filled.
- If they have no email, you are asked for one; it is saved on their client record for next time.
- Check From (clinic mailbox on practice phones: Settings → Mail → Default Account). Send from Mail. wellNet never stores a mailbox password.
The receipt heading uses trading name, address, phone, email, and VAT number when those are filled on Company. If VAT was charged, it lists net, VAT %, VAT amount, and total. Tap Done when you have finished.
Delete a sale
- On the Sales list, swipe the row left and tap Delete.
Everyone can open Reports. What you see depends on whether you signed in as staff or as an administrator. Schedule stays the shared book; this tab is where the split applies.
Run a report
- Open the Reports tab.
- Choose Week, Month or Year (segmented control at the top).
- Use the chevrons to step back or forward. The date range is in the middle.
- Read the summary cards, the takings chart, payment methods, and top sellers.
- To keep a copy: tap Save (square-and-arrow, top right), then Save PDF… or Save CSV… and pick where to put the file (Files, iCloud Drive, and so on).
What the report gives you
| Figure | Meaning |
|---|---|
| Takings | Total money taken in the period (including VAT if you charge it) |
| Sales | How many till sales and booking payments in that period |
| Average sale | Takings divided by the number of sales |
| Booked hours | Hours of non-cancelled bookings in the period, for the people in this report |
| Net and VAT | Shown when a VAT amount was recorded |
| Takings chart | Bars for the days, weeks or months in the range |
| Payment methods | Count and amount for cash, card, voucher, other |
| Top sellers | Treatments and products by quantity and revenue |
If you are staff (not administrator)
The footer reads Your figures — [your name]. You only see bookings in your name (not cancelled) and till sales you completed while signed in as yourself, including Pay on a booking. Charts, payment split, top sellers, PDF and CSV are that same slice. You do not see a colleague’s till. You can still see their appointments on Schedule.
If you are an administrator
The footer reads Practice report — all therapists. You get every therapist’s bookings and sales for the period. Older sales with no therapist attached only appear here. Use this for the week’s takings, VAT on the till, and a file for the accountant. PDF is a printable summary. CSV columns: date, client, therapist, items, net, VAT, total, payment method. Who gets this view is the Administrator tick — see the Admin tab of this guide.
Phone Reports list client names on the CSV. Practice bills, one-off invoices, and a cash-flow look-ahead live on wellNetMind on the reception Mac and do not list client names.
Your own login, the Grok key on this phone, and iCloud status. Company, staff, rooms, backup and invite sit on the same screen in the app, but only an administrator can change them — those jobs are on the Admin tab of this guide.
Sign in as yourself, change password, log out
- On first launch, a new diary has user ID admin / password admin. Change that immediately (the app will ask).
- Day to day, sign in as your own wellNet user ID, not as a shared admin login.
- Manage → Account: signed in as, role (Administrator if you have that tick), Change Password, app version, Log Out.
Two logins: the Apple ID in iPhone Settings is which house this phone lives in. The wellNet login is which therapist you are. See the Staff tab on this website for company phones versus personal phones.
Paste the Grok key on this phone
- Manage → Grok. Paste the practice xAI key. Tap Save API Key.
- The key stays in this phone’s Keychain. It is not in backups and does not sync. Any staff member may paste it. Get a key from console.x.ai.
The same key is used for voice (when Apple Intelligence is not used) and for Bookings WhatsApp (a trial thread on this device — not live Meta WhatsApp Connect). What you can ask and book is on the Voice tab of this guide.
Check iCloud on this phone
Manage → iCloud shows whether this Apple ID is signed in for the live diary. Same Apple ID, live diary. The practice and Apple are the custodians: L5 does not keep a copy of the client file. This is not the wellNet staff login, and it is not iCloud Backup. More space is an Apple iCloud+ plan, bought in Settings when you need it. If Apple asks for the Apple ID password, tap Cancel unless the supervisor is entering it — see Admin → Practice Apple ID password.
Working without internet
Schedule, Clients, Sales, Reports, reminders (Copy / Share…), and Backup to a file on the phone all work offline. Sync, Grok, Invite, Publish, Pull, Information page publish, Online booking publish and requests, and Mail actually sending need a connection. Offline changes upload when Manage → iCloud shows live sync and the network returns.
Every job that needs the Administrator tick. In the app these rows live under Manage; they are visible to everyone but greyed out unless you signed in as an administrator.
Who can do this
An administrator can change practice setup, back up or restore the diary, invite another Apple ID, publish to invited phones, turn on the public book page, accept or dismiss web requests, load sample data, and see everyone’s figures on Reports. Ordinary staff can use the diary, paste a Grok key, and see their own reports. There must always be at least one administrator; the last Admin tick cannot be turned off, and you cannot delete your own login.
Give the tick only to people who should run the practice. Day to day they still sign in as themselves — the tick is on their therapist record, not a shared admin account.
Practice Apple ID password (supervisor only)
Company phones share one practice Apple ID so they share one live diary. That Apple ID has one password. Apple does not issue a second password you can withdraw. Do not cycle it every day — that signs iCloud out on every handset and stops the diary syncing.
Keep the Apple ID password with the supervisor
- The Apple ID password is the supervisor’s. Staff do not learn it and do not write it down.
- Unlocking the phone (passcode or Face ID) is enough to use wellNet and every app already on the handset.
- If Apple asks for the Apple ID password (App Store, iTunes, iCloud), staff tap Cancel and carry on. That sheet does not lock the phone.
- If Apple will not let them through (iCloud signed out, a new phone, or they genuinely need a new app or TestFlight), they fetch the supervisor. Only the supervisor types the Apple ID password. Staff must not guess.
- Change the Apple ID password when someone leaves, a phone is lost, or you think the password leaked — then sign the remaining practice phones back into iCloud. That is a revoke. It is not a daily ritual.
- Anyone who must not hold that password keeps their own Apple ID and is an Invitee (Staff tab), not a company phone on the live house.
House rule: the Apple ID password is the supervisor’s. Cancel if you can. If you cannot, do not guess — fetch the supervisor.
Company, VAT, and the public WhatsApp number
- Manage → Company.
- Trading name, address, phone, and email. These appear on colleague invites and on receipts (trading name as the title).
- VAT number prints on every receipt when filled. VAT rate % — leave at 0 if you are not charging VAT; 20 adds twenty percent at payment. Diary and till prices are before VAT.
- Bookings WhatsApp is the public number clients message. Meta Connect is not live yet; staff can still try the Grok thread from Manage → Bookings WhatsApp.
Publish the public information page
- Manage → Information page.
- Set a slug (lowercase letters, numbers and hyphens, for example willow-and-stone). That becomes the public web address.
- Fill trading name, about the practice, address, phone, email, WhatsApp, and a privacy policy. Or tap Fill from Company, then edit.
- Turn Published on, then Save and publish. Turn it off to hide the card without deleting the wording.
Visitors see a noticeboard: who you are and how to get in touch. It is not the diary. Clients, notes, bookings and VAT stay in wellNet. A reception Mac is not required. The same Publish is what puts you on the web.
Turn on online booking
- Paint staff hours on Schedule and add treatments and rooms first. Visitors only see first names, hours, and free times.
- Publish the information page (the task above) so the practice has a short web name.
- Manage → Online booking. Tap Publish free times.
- Copy Book now link for Instagram, or Copy for the practice website if they already have a site (a Book a time link and a box that shows the same form).
The public page never lists who is booked. Occupied diary slots appear only as busy. Visitors tick every treatment they want in this visit; times shown are long enough for the combined duration. A treatment marked own booking cannot be combined. When they pick a time they must leave a name and telephone, then tap Request this time. That is a request, not a booking. The slot looks taken to other visitors so two people cannot grab the same chair, but Schedule does not change until you write it in. wellNetMind on a reception Mac is not required.
Accept or dismiss a web request (a person decides, not the website)
- After the visitor taps Request this time, open Manage → Online booking and tap Refresh requests. The row should show name, telephone, treatment, practitioner, place, and time, with Write in diary and Dismiss.
- New visitor on this book page means they are not yet known on this page. Returning visitor means that name and telephone matched an earlier request.
- If it looks genuine: Write in diary. wellNet matches them by telephone, or creates them, writes one diary booking (combined treatments share one block, named with +), stamps a note that it came from the website, and publishes free times again. Open Schedule for that day and check the hour.
- If it looks bogus or spam: Dismiss. No booking is written. Do not contact them. Publish free times if you need that chair offered again.
- If they are real but you cannot take them: Dismiss, then tell them yourself. The row has name and telephone — ring or WhatsApp, as you would for a cancelled diary slot. Dismiss does not send email, SMS, or WhatsApp, and the public page never says “rejected” (that would put a name on a public site).
A human in the loop stops junk bookings landing on the day list. The website cannot invent a client or a slot in wellNet, and it cannot tell a visitor they were turned down. The visitor can cancel their own request later with the same name and telephone; that is them withdrawing, not you refusing. If Company has a Bookings WhatsApp number, they may also send you a WhatsApp; that is still not a diary booking until you write it in.
Add teams
- Manage → Teams. Tap +.
- Name and optional notes. Save.
- Assign therapists to a team when you edit each person. Teams are labels; they do not change who can sign in.
Add or edit therapists
- Manage → Therapists. Tap + for a new person, or tap a row to edit.
- User ID and password — this is how they sign into wellNet on a practice phone (or after they accept an invite).
- Tick Administrator only if they should change setup, back up, and see everyone’s reports.
- Member type: Staff (practice phone, same Apple ID as the clinic, live diary) or Invitee (their own Apple ID and a published copy).
- Details: title, first name, last name, qualifications. Optional team, phone, and email. For an invitee, use the Apple ID email they will accept with.
- Save. A new therapist gets Monday–Friday 9–5 hours until they paint their own week on Schedule.
Swipe a row left to delete. You cannot delete the person you are signed in as. You cannot remove the last administrator.
Add treatments
- Manage → Treatments. Tap +.
- Name, price (before VAT), duration in minutes (5–240). Turn May be combined off only if this treatment must be a visit on its own. Existing treatments stay combinable until you change them.
- Save. These become the defaults when someone books that treatment. Staff can still type a custom name on a booking.
Add rooms and premises
- Manage → Locations. Tap +.
- Name (for example Treatment room 1, or The Priory Clinic), address, directions or parking notes, optional photo.
- Save. Rooms appear on bookings and on Week → Location diary.
Add stock
- Manage → Inventory. Tap +.
- Product name, optional category, price (before VAT), stock count.
- Save. Stock falls when you sell that product from Sales. Swipe left to delete a product.
Back up or restore the diary
- Manage → Back Up Data…. Save a JSON file (iCloud Drive is fine).
- The file holds clients, bookings, sales, stock and logins.
- Restore from Backup… replaces everything in the app with that file. Confirm before you proceed.
API keys are not in the backup. After a restore, paste the Grok key again on each phone that needs voice or Bookings WhatsApp.
Invite a colleague on their own iPhone
- Create them under Therapists, member type Invitee, with a wellNet user ID for this practice.
- On a practice phone (the diary of record), Manage → Invite a colleague…. Send Apple’s link to their Apple ID email.
- They accept, close wellNet fully, reopen, and sign in with their wellNet user ID.
- When their copy should catch up: on a practice phone, Manage → Publish latest diary. They tap Pull latest diary. A pull replaces their copy.
The invite copy is for looking. Book and take payment on a practice phone. Full explanation: Staff tab on this product page.
See everyone’s reports
- Open the Reports tab while signed in as an administrator.
- The footer reads Practice report — all therapists. You get every therapist’s bookings and sales for the week, month or year.
- Save PDF or CSV for the accountant. Steps and column meanings are on the Reports tab of this guide.
Load sample data (demo devices only)
Manage → Load Sample Data adds demo clients, a week of bookings, sales and stock. Skip it on a live clinic diary.
