Staff organisation

wellNet uses two sign-ins. The Apple ID in iPhone Settings chooses which house the phone lives in. The wellNet login chooses which therapist you are. There are two ways to organise staff around that.

  1. 01

Company iPhones, one practice Apple ID

This is the intended setup for a live shared diary. Give each therapist a clinic handset. In Settings, sign every one of those phones into the same practice Apple ID and leave it there. In wellNet, each person signs in as themselves — not as the administrator all day. They then share one live book: anyone can book a client, and the others see it. Hours, clients, till, and reports stay in step. wellNet still knows who made the booking because of the staff login. Treat those phones as clinic tools. Photos, Messages, Find My, and App Store purchases on them follow the practice Apple ID, not a personal one. Three therapists means three company phones, one Apple ID, three wellNet logins.

  2. 02

    Personal phones, by invite

You do not have to buy a second phone for every therapist. Staff can keep their own iPhone and their own Apple ID, so Photos and Messages stay theirs. An administrator invites that Apple ID from wellNet (Manage → Invite a colleague). They accept, reopen wellNet, and sign in with their wellNet user ID. They then have a full copy of the practice diary: the calendar, clients, bookings, and notes. They can look at the book, enter a booking, and update records on that copy. It looks like the clinic app; it is not a cut-down screen.

  3. 03

    Administrator publish

The practice book on the company phones is the diary of record. An administrator pushes that book to invited phones with Publish latest diary. Invited staff pull to receive it. That command refreshes their calendar and records from the practice. The next publish replaces the copy on the personal phone. Bookings, payments, and edits that must appear on every clinic handset belong on a company phone signed into the practice Apple ID. Use the invite copy to see who is in, to read a note, or to work on a copy; use a practice phone — or ask reception to book on one — when the shared diary must change.
